The stock nobody can see

Most workshops hold stock — they just do not know how much. The oil filter is somewhere on the back shelf, the brake pads "were there last week", the supplier invoice is in a drawer. Inventory software is useful not because it counts stock, but because it reduces stock where the part is actually used: on the work order.

Purchase price, selling price, margin as a percentage or an amount. The office sees it, the mechanic does not — they only work with the selling price.

How it works

Items and suppliers

SKU, name, brand, supplier, unit, minimum stock. Suppliers and brands live in their own lists, entered once.

Receiving

Based on the supplier invoice: quantity, purchase price, warehouse, shelf. From a photo of the invoice the system pre-fills the items with text recognition — you check instead of typing.

Use on the work order

The mechanic or the office adds the part to the work order; the quantity leaves the stock and the selling price lands on the job. Reservation is possible for parts not yet fitted.

Alerts and reports

Below the minimum stock the system alerts you. The movement log keeps every receipt, issue, correction and reservation — who, when, how many.

Frequently asked questions

Do we need a barcode scanner?

Not required. Items are searchable by SKU, name, brand or supplier; receiving can also start from a photo of the supplier invoice, with text recognition.

Can a mechanic see the purchase price?

No. The mechanic role sees the selling price and the quantity; the purchase price and the margin are visible only to the office and the owner.

We have several warehouses — per location?

Yes. Warehouses and shelf locations belong to a location; the owner sees the stock of every location, staff see their own.

What if a part is taken back off a work order?

The stock movement is reversed: the quantity returns to the warehouse and the movement log shows who removed and restored it, and when.

Can we import our stock from a spreadsheet?
